The client is a Switzerland-based private philanthropic foundation. Its purpose is to promote the protection and sustainable development of nature, biodiversity and natural resources. The Foundation grants subsidies to partners with projects in these fields.
The MAVA Foundation wished to implement an integrated grant management system to manage funds granted to its partners. The application need to be connected to the accounting. The Foundation wanted to identify a well-established software and a supplier able to understand philanthropic funding and customise the solution in accordance with the Foundation professional requirements.
In close collaboration with the Foundation’s Project Manager, AiM put in place a structured process to identify the key stakeholders, prepare the call for tenders and select the best partner.
A market analysis was conducted to identify six potential suppliers. A Request for Proposal (RFP) was prepared together with a scoring matrix to evaluate responses and select the best supplier from a shortlist of three. Later on, the commercial terms and conditions were agreed with the selected vendor, and a roadmap was planned for the project.
The entire selection process lasted two months.
The chosen solution was implemented over a period of six months; it met users’ requirements and satisfied the client.
